Supplier price monitoring

Catch supplier price increases before they are approved.

Every line on every purchase request is compared with the last price your company paid for that part. Increases show up while the request is being typed, not months later in an audit.

Short answer

The Avantix Procurement Portal shows the last purchase price and the percentage difference on every line item while the request is typed, and approvers see a badge on lines above the alert percentage set by the admin (10% by default). When the Purchasing Team completes a purchase, the final prices are added to each part's price history, and a rise of at least that percentage sends an automatic price alert to the Purchasing HOD and COO.

A worked example

Cutting fluid, 20 L. Four purchases, one surprise.

Sample data. The alert level is 10%, so a completed purchase above RM 203.50 triggers an alert. Small steps like these are what purchasing teams call price creep.

Small steps never looked alarming on their own. The new quote does: it is 17.8% above the last price paid, so every approver sees an "Above 10%" badge on that line. When Purchasing completes the order at RM 218.00, the price history is updated and a price alert goes to the Purchasing HOD and COO.

Price monitoring questions

Where does the last purchase price come from?

From the system's own records. When the Purchasing Team completes a purchase, the final price per item is saved to that part's price history. The next request for the same part number is compared against it.

When does the price warning appear?

While the requester is typing the unit price. The system compares it with the last purchase price for that part number and warns immediately if it is higher.

What is the price alert limit?

A percentage set by the System Admin, 10% by default. The same percentage decides when approvers see a badge on a line and when a completed purchase triggers a price alert.

Who is told about a price increase?

Automatic price alerts go to the Purchasing HOD and the COO when a completed purchase raises a part's price by at least the alert percentage, and are recorded in the audit log. Before that, the requester sees the variance while typing and every approver sees the last price and % difference on each line.

When exactly is a price alert sent?

When the Purchasing Team marks a purchase completed. The final unit price of each part is added to its price history, and if it is at least the alert percentage above the previous entry, the alert is sent. Nothing is sent when a request is submitted or approved; at that point the increase is shown on screen instead.

What price history is kept for each part?

For every part number: the average, lowest, highest and latest purchase price, plus a trend chart. The Price Trend report shows how prices moved over time and can be exported to CSV or printed as PDF.
